In brief: we collect only what we need to answer your enquiry and to keep this website running safely. We do not sell personal data, and we do not use customer data to train public AI models.

Who this policy covers
This policy explains how Z-SOFT CO., LTD (“Z-SOFT”, “we”, “us”) handles personal data collected through this website.
Data you entrust to us inside a Z-SOFT product or a delivery project is governed by the agreement and the data-processing terms signed for that engagement. Where those terms differ from this policy, the signed agreement prevails.
What we collect

We do not ask for and do not want sensitive personal data — health, political opinions, religious belief, biometric identifiers — through this website. Please do not put confidential information in a contact form.
Why we use it
- To answer your enquiry, prepare a proposal and manage the relationship that follows.
- To operate, secure and troubleshoot this website, including detecting abuse and preventing fraud.
- To understand which content is useful, so we can improve what we publish.
- To send information you asked for, and nothing you did not.
- To meet accounting, tax and other legal obligations that apply to us.
The basis we rely on
- Your request. When you write to us, handling your message is what you asked for — and the steps before a contract.
- Our legitimate interest. Keeping the site secure, available and understandable to us, balanced against your privacy.
- Your consent. Optional cookies and any marketing message, which you can withdraw at any time.
- Legal obligation. Records we are required to keep, or lawful requests we are required to answer.
Who we share it with
We do not sell your personal data, and we do not trade or rent it to advertisers. We share it only with:
- Service providers that run infrastructure, email delivery and — where enabled — analytics on our behalf, under contract and only for the purpose we engaged them for.
- Public authorities, when a valid legal request obliges us to and after we have checked that it does.
- A successor entity, if Z-SOFT is ever reorganised or acquired; the protections in this policy travel with the data.
Where it is processed
Z-SOFT operates from Vietnam and works with clients in Vietnam, Japan and elsewhere. Your data is processed in Vietnam and, for some providers, in data centres in other countries. When data leaves Vietnam we require the provider to keep protections equivalent to those described here.
How long we keep it

Your rights
You can ask us to:
- confirm whether we hold data about you, and give you a copy;
- correct anything inaccurate or incomplete;
- delete what we no longer have a reason to keep;
- restrict or object to a particular use;
- withdraw a consent you gave — without affecting what was lawful before you withdrew it.
Write to contact@z-soft.com.vn. We answer within 30 days, and we may need to verify who you are before we act on a request. If you are not satisfied with our answer, you may complain to the competent data-protection authority.
Children
This website is aimed at businesses and is not directed at children under 16. We do not knowingly collect their data; if you believe a child sent us something, write to us and we will remove it.
How we protect it
Access to systems holding personal data is restricted to the people who need it, protected by multi-factor authentication, encrypted in transit and recorded in audit logs. Our Security page describes the practices behind that in more detail.
Changes to this policy
When we change this policy we update the date at the top of the page. If a change materially affects how we use data you already gave us, we will say so directly rather than rely on you noticing.
